Almost every business has one: the corner of the warehouse where the scanner drops out, the back treatment room with no signal, the far end of the caravan park where guests complain every single week.
The usual response is to buy another extender from the electronics shop. It rarely works, and it often makes things worse. Here is why, and what actually fixes it.
Why the router from your internet provider is not enough
The modem-router that came with your internet connection is designed for a house: one floor, plasterboard walls, maybe fifteen devices. A workplace is a different problem entirely.
- Building materials. Brick, concrete, steel racking, tiled wet areas, foil-backed insulation and commercial glass all absorb or reflect Wi-Fi. A single router cannot punch through them.
- Device count. Every phone, laptop, EFTPOS terminal, printer, tablet, camera and sensor is a client. Consumer routers slow down badly once the count climbs.
- Everything shares one radio. A single access point gives all devices a turn to talk. The more devices, and the further away they are, the slower everyone goes – including the ones sitting right next to it.
Why extenders usually make it worse
A basic extender receives Wi-Fi and re-broadcasts it, which roughly halves the available throughput. It also usually creates a second network name, so devices cling to the weaker one as people walk around, and refuse to hand over.
The result is a network that has coverage on paper but is slow and unreliable in practice – the hardest kind of fault to explain to staff.
Step one: a site survey
Proper Wi-Fi design starts with measuring, not guessing. A site survey walks the premises with equipment that records actual signal strength and interference, producing a heat map of the building – green where coverage is strong, red where it is not.
That tells you three things: how many access points you need, where they should go, and which channels to use so they do not fight each other or the neighbouring tenancy. In older buildings it also tends to reveal surprises, like the plant room that blocks everything behind it.
Step two: commercial access points
Commercial access points differ from consumer gear in ways that matter day to day:
- They work as one network. Multiple access points share a single network name and hand devices between them as people move, without dropping the connection.
- Power over Ethernet. One cable carries data and power, so units go where coverage needs them – ceiling, high on a wall, outside under an eave – not where the nearest power point happens to be.
- They handle crowds. Designed for dozens or hundreds of simultaneous devices without falling over.
- Central management. One place to see what is connected, what is slow, and which unit has a problem – including remotely, so faults can often be diagnosed without a site visit.
Step three: separate your networks
Guests, staff and equipment should not share one network. At minimum, run a separate guest network so a visitor's laptop cannot reach your file server, your cameras or your point of sale.
A guest splash page – the branded screen people see when they connect – is worth setting up properly. It lets you show your terms, apply a fair-use limit so one person streaming does not ruin it for everyone, and optionally collect an email address for your mailing list. For hospitality and accommodation, that list becomes genuinely valuable.
Where this matters most
- Caravan parks and holiday parks. Large outdoor areas, trees, metal vans and guests who judge the whole stay by the Wi-Fi. Needs outdoor-rated access points and real planning.
- Hotels, motels and pubs. Thick walls, many rooms, high guest expectations.
- Medical centres and clinics. Practice software, imaging, tablets in every room, plus a guest network kept well away from patient data.
- Warehouses and factories. Steel racking and stock levels that change the signal environment daily. Scanners and forklift terminals need coverage everywhere, including the loading dock.
- Multi-level offices. Concrete floors block signal vertically – each level generally needs its own coverage.
